What we collect and why

Contact form

When you send us a message we ask for your first and last name, email address, telephone number (optional), the subject and your message. We use these details to answer your question and to follow up on it. We keep a copy of the message in the website’s database so that it is not lost if an email goes astray.

Expert request

If you ask to speak to one of our experts we ask for your name, company, email address, telephone number and your message, and use them to get in touch with you about your project.

Open application and vacancies

If you apply for a position or send an open application we ask for your name, surname, email address, telephone number, the function you are interested in, a motivation and, optionally, your resume (CV). We use these details only to assess your application and to contact you about it.

Technical and security data

To protect the website and its forms against spam and abuse we briefly process your IP address (for example to limit how many messages can be sent from one address and to block repeated failed logins). This data is held only for a short time, from minutes up to one day, and is not used for anything else.

Cookies and third parties

We do not use advertising or tracking cookies. Fonts and icons are served from this website. Some pages include content from other parties, which may receive your IP address when you view it: a map from OpenStreetMap, and videos from YouTube (embedded in its privacy-enhanced mode). If we add analytics or other tools, we will update this statement first.

Legal basis

  • Answering your enquiry or request: taking steps at your request before entering into an agreement (Article 6(1)(b) GDPR) and our legitimate interest in running our business (Article 6(1)(f)).
  • Handling your application: our legitimate interest in recruiting, and your consent where you ask us to keep your details for future vacancies (Article 6(1)(a)).
  • Keeping the website secure and free of spam: our legitimate interest (Article 6(1)(f)).

How long we keep your data

  • Contact and expert enquiries: for as long as needed to deal with your question, and at most 12 months after our last contact, unless a contract or a legal duty requires us to keep them longer.
  • Applications: up to 4 weeks after the application procedure has ended; up to 1 year if you have given us permission to keep your details for future vacancies.
  • Spam and security data: automatically removed within one day.

Who receives your data

Your details are used by the people at Solinoor who need them to answer you. We use service providers (for example for hosting the website and for email) that process data on our behalf under a data processing agreement. We do not sell your data. If a provider processes data outside the European Economic Area, we make sure appropriate safeguards are in place.

Security

We take appropriate technical and organisational measures to protect your data: encrypted connections, restricted access to the website’s records, regular backups and protection against automated abuse.

Your rights

You have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, to receive it in a portable format and, where processing is based on consent, to withdraw that consent at any time. To use any of these rights, email us at info@solinoor.com. We will reply within one month. If you believe we handle your data unlawfully you can also complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).

Changes

We may update this statement, for example when we add new features to the website. The latest version is always on this page. Last updated: 16 October 2026.
